Privacy Policy

Answer With Iris, LLC d/b/a Answer with Iris (Fort Worth, TX) (“we,” “us”). This policy describes how we collect, use, share, and retain information when you visit answerwithiris.com, create a shop account, or use our AI-enabled answering service. This is not legal advice.
Who this covers
Website visitors and business clients. The shop is the controller of its caller data. Answer With Iris, LLC is the processor. Callers should also follow the notice of the shop they dialed.
What we collect
Identifiers and contact data; billing name and address (for tax); billing and support tickets; call and SMS content (audio, transcripts, voicemails, appointment details the caller provides); technical data (IP, device, pages, cookies); timestamp of Terms acceptance. We do not collect biometric identifiers to identify a person. We never store full card numbers.
How we use it
To provide, secure, bill, and improve the service; to route, transcribe, summarize, and deliver jobs and bookings to our business clients; to detect abuse and fraud; to comply with law. We market to business prospects only where permitted. We do not sell personal information for money. Owner-alert texts are transactional job alerts, not marketing.
We do not use end-customer call audio to train publicly available foundation models. We instruct vendors to disable training on our data where that control exists.
Mobile numbers and SMS
We collect mobile numbers so we can send transactional service texts: a job card to the shop owner and the technician who covers that trade, a YES/NO dispatch, a one-line receipt when a tech accepts, and one morning callback list. We do not send automated texts to callers — they never opted in. These are not marketing. Message frequency varies with inbound calls — several on a busy night, none on a quiet one. We do not sell mobile numbers. We do not share mobile numbers with third parties for those parties’ marketing or promotional texting. Numbers go only to processors that send the message for us (including Twilio) and to the shop that owns the job.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.
How we share
With the client whose line was dialed; with processors that host telephony, AI voice, storage, analytics, payments, and mail (including Retell AI, Twilio, Vercel, Stripe, Resend, Cal.com, Meta Pixel on public pages, xAI, and our database host); with advisors and insurers under confidentiality; if required by law or to protect rights and safety; and in a merger or sale of the company. If the shop connects Jobber, Housecall Pro, Cal.com, Google, Outlook, or Apple Calendar, that tool receives the job details the shop enabled. Full list: subprocessors.
xAI (Grok) is used only in our back office. It may read a shop-owner support ticket and a short ops summary (shop name, number, plan, minutes, status flags) so we can draft an internal note. It does not receive live-desk caller audio, transcripts, addresses, or job notes. It does not answer the shop phone and it does not power the Ask Iris bubble on this site. We do not use that content to train public Grok consumer models. The shop remains controller of caller data; we are processor. xAI is our processor for support and ops notes, not a caller-data subprocessor in the Retell sense.
On public pages we run a Meta Pixel so we can measure ads. It does not run on the shop desk, login, or ops. It does not receive live-call audio, transcripts, addresses, or job cards.

Legal hold: if a shop, court, or government requires us to keep a file, it stays until the hold lifts, then the clock above runs.
We do not sell caller data.
After cancel, desk access to remaining history lasts 30 days.
Security
Encryption in transit, hashed passwords, card numbers held by Stripe (never stored here). No system is 100% secure.
Delete your account
Shop owners of Answer with Iris can request that we delete their shop account and associated data. Email support@answerwithiris.com from the same address you use to sign in. Write that you want the account deleted. We verify it is you, then we close the shop and delete or anonymize personal data we hold for that account.
What we delete: shop profile (name, email, cell), job notes, zips, trip fee, schedule, and call recordings/transcripts we still have.
What we keep, and for how long: invoices and billing records as required for tax and law (often years). Recordings default 30 days, then they are already deleted unless a legal hold applies. After a delete request we finish remaining recordings on that same clock. We respond within the time applicable law allows (often 45 days).
You can also email the same address to correct or delete a specific item (a job note, a phone number) without closing the whole account.
Privacy rights
You may request access, correction, or deletion of personal data we hold. Email support@answerwithiris.com. Texas’s TDPSA includes a small-business exemption that may apply; we still honor good-faith requests. We verify and respond within the time applicable law allows (often 45 days).
Children
The service is directed to businesses, not to children under 13.
